Form I-9: Choose Acceptable Documents Before Your Appointment

Understand the document-choice structure, prepare through the employer’s verified process and keep identity documents off unrelated sites.

By First Shift ReviewSources checked Published

For Form I-9, the key document structure is acceptable List A documentation, or acceptable List B documentation together with acceptable List C documentation. Employees choose which acceptable documentation to present. A reader should not assume that an independent checklist can require a particular identity document.

The Department of Justice’s I-9 guidance explains the worker’s choice of acceptable documentation. Use the current official USCIS instructions and the employer’s authorized process for actual completion. List A can involve a permitted combination of documents; receipt, extension and other special rules require the full applicable instructions. We have not assessed your documents.

Choose acceptable List A documentation OR acceptable List B plus List C documentation. Employees choose; special rules require official instructions.
A document-choice explanation, not an identity-document upload request.

Keep three different questions separate

What kind of evidence is needed?
The official lists explain the acceptable categories and combinations. Read the full applicable instructions rather than relying on a picture of someone else’s documents.
How will the employer examine it?
Ask the authorized HR process where and how you should present the documentation. Do not assume that photographing a document and emailing it to a new address completes the requirement.
What if my situation is unusual?
Receipts, extensions, name differences and other special circumstances need the official instructions and qualified assistance. A brief orientation article cannot decide whether a particular item is acceptable.

A preparation check that avoids oversharing

Before an appointment, confirm its purpose, the verified contact and the method the employer has authorized. Review the current official acceptable-document list yourself. You do not need to write the document number in an email asking where to attend, and you should not send identity documents to this publication’s editorial email.

In a fictional example, a worker has been told “bring I-9 documents,” but the appointment message does not specify the room or verification method. The next step is to ask the authorized HR contact about the appointment arrangements, while choosing acceptable documents from the official list. It is not to send a passport scan to every address in an onboarding email chain.

What this guide deliberately leaves to the authorized process

We do not determine immigration status, eligibility for employment, document validity or which exceptions apply. We do not store forms or tell an employer what it must accept in an individual case. Questions about the correct current edition or an unusual document should go to USCIS guidance and the employer’s authorized process; discrimination or legal concerns may call for appropriate independent advice.

Northwell’s practice-transition page references an HR document appointment, but it applies to that joining audience. Other hires should use their own assigned instructions. Once the identity-document task is understood, return to the joining map to keep it separate from health clearance, orientation and role training.
